The Nancy Batchelor Team in Miami Beach is Expanding!

The Nancy Batchelor Team is looking for two positions to assist our growing team. The first is an unlicensed Executive Assistant, and the second position is a weekend assistant who is licensed and can help with showings, open houses, etc.

The job description for the Executive Assistant can be found below:

  • Being the go-to person for staff and routine agent questions.
  • Day-to-day support to all agents to insure smooth transactions. The team currently has four agents and is expanding.
  • Keep Nancy Batchelor informed and assist with client contacts, relationship management, issue resolution, and support.
  • Review all emails (including Nancy’s email), voicemails, transcribed voicemails, and Nancy’s text messages.
  • Liaison between marketing team and Nancy Batchelor for all marketing.
  • Collaborate with the sales team on exclusive presentations and proper market pricing with sellers.
  • Prepare all listing materials: pre-listing presentation, Listing Agreement, Sellers’ Disclosures, comparative market analysis, research old Multiple Listing Service (MLS) listings, etc.
  • Work closely with both Sellers and Buyers, and oversee all aspects of the transactions from the initial contact to executed contract and all the way through to closing.
  • Regularly update and maintain communication with clients, agents, title officers, lenders, etc.
  • Coordinate with sellers for all photo shoots, property staging, repairs, cleaning, signage, access requirements, marketing activities, and real estate sign orders.
  • Coordinate and assist with showings, open houses/broker events, schedule inspections, contract signings, appraisals, and service provider appointments.
  • Return all showing appointment telephone calls, texts and/or emails.
  • Provide feedback to sellers regarding all showings and marketing activities.
  • Maintain scheduling and event calendars.
  • Obtain all necessary signatures on listing agreements, disclosures and other transaction documents and submit to the office broker for review and filing.
  • Input all listing information into internal/public systems, marketing websites, and update as needed.
  • Print Out MLS Hot Sheet daily and keep track of competing listings
  • Create and manage all systems for sellers, buyers, client database management, lead generation tracking, and lead follow-up.
  • Set up and maintain paper and electronic filing systems for records, correspondence, marketing, and other materials.
  • Order/Request sign installation, repairs, and removals.
  • Review all websites in order to verify all listing and marketing information is correct.
  • Request customer reviews on Trulia.com, Zillow.com, Realtor.com and Real Satisfied after closing.
  • Coordinate the purchasing of any office equipment, marketing materials or any other business-related supplies and materials.
  • Order client gifts, post sales on NancyBatchelor.com and other websites, and do thank you notes to all parties of the transaction.

Job Hours are Monday through Friday from 9am to 6pm, but must be available via text or phone in case of an emergency after hours.

After the seven-month anniversary two weeks of paid vacation time will be provided and 50% of health insurance costs will be paid.

Real estate license is not needed, but real estate experience is required.
